By booking and completing payment, the Guest understands and accepts this agreement.
1. Premises
The cabin is offered for rent by Gestion Alchalet Inc., acting as Manager for the Owner. The Manager has no responsibility with respect to the maintenance of the building itself.
The Guest hereby offers to rent from the Manager the cabin identified on the listing, hereinafter the “premises”.
2. Terms of rental
This agreement sets out the obligations of the Owner (the cabin owner) and the Guest. The price and length of stay are shown on the booking.
3. Booking policy
- For every booking, a sum equal to twenty-five percent (25%) of the total rental price is required as a deposit by credit card through the secure platform.
- The remaining balance is charged automatically thirty (30) days before the arrival date.
- For bookings made less than thirty (30) days before arrival, full payment is required when the booking is confirmed.
- The booking becomes effective once the Guest has submitted the rental deposit. Until then, the dates cannot be held and remain available to other guests.
- A refundable security hold of one thousand dollars ($1,000) is placed on the credit card 24 hours before arrival and released within seven (7) days of departure (see section 4).
- Bookings are not permitted for persons under 25. Photo identification may be required.
- The Guest may, under certain conditions, extend the stay by arriving before 5:00 p.m. on the arrival day or leaving after 11:00 a.m. on the departure day. The request must be made in writing to reservation@alchalet.ca. Early check-in or late check-out is $120. If arrival or departure times are not respected, the fee will be taken from the security hold.
4. Security hold
The Guest agrees that $1,000 will be temporarily pre-authorized on their credit card as a security hold to ensure their obligations are met.
The hold is placed 24 hours before arrival and returned in full seven (7) days after departure if the property is returned in its original condition and the rules have been followed.
The Guest understands that the hold may be reduced if the rules are not followed. It is intended to cover possible damage to the premises and compliance with the rules. It is returned after deducting the cost of repairs or replacement arising from damage to the premises or their furnishings.
The hold is returned in full if
- Nothing is missing, soiled or damaged.
- The premises have suffered no damage or abnormal wear.
- The premises do not require extra cleaning and are returned in the same state of cleanliness as at check-in, including cupboards, bins, refrigerators, bathrooms and appliances.
- The rules have been followed (see sections 6 and 7).
If costs exceed the security hold, the Guest agrees that the excess will be charged to their credit card within 7 days. Otherwise, legal proceedings will be taken.
5. Cancellation policy
To cancel, the Guest must first notify the Manager in writing at gestion@alchalet.ca or by phone at 1-581-700-7796.
- If notice is received thirty (30) days or more before the stay begins, the full booking amount is refunded on receipt of the notice.
- If notice is received less than thirty (30) days before the stay begins, the Guest must pay the full rental amount, excluding the security hold.
- The booking date may be changed, at no fee, no later than thirty (30) days before the stay if availability allows. Any price difference is payable by the Guest. No refund is given if the Guest changes to a lower-priced stay.
- If the Guest shortens the stay, the full rent remains due.
- In the event of unforeseen circumstances or force majeure (major power outage, water or sewer issues, road conditions, natural disasters, illness, death or otherwise), unused days will be refunded if the stay must be interrupted or cancelled, but no additional compensation will be granted. The Guest waives any claim for damages against the Manager or the Owner.
- COVID-19: no refund is issued if the Guest or one of their visitors has COVID-19 before the stay begins. The cancellation terms still apply.
6. Occupancy
The maximum number of occupants is the capacity shown on the listing.
If occupancy exceeds the number of people stated in the booking, prior authorization from the Manager is required. The Manager may refuse extra guests or charge $100 per additional person.
Failure to comply ends the rental agreement with no compensation, and the Guest and all occupants must leave. Any extra person on the premises incurs a $100 fee per person, taken from the security hold.
7. House rules
The Guest, every occupant and anyone the Guest lets in agree to follow the rules in this agreement and in the cabin. If they are not followed, fixed liquidated damages will be charged against the security hold.
No smoking
Smoking is prohibited inside the premises. Use designated outdoor areas and dispose of butts properly. $250 fine for non-compliance.
Pets
Pets are allowed in certain cabins only. See each cabin’s own rules.
Hot tub
Follow the hot-tub instructions ($150 fine if the spa technician must perform an emergency drain): shower before each use; no alcohol or food; no glass; add a shock treatment after each use (found in a box near the spa).
Hours
Check-in is 5:00 p.m. Check-out is 11:00 a.m. The cleaning team arrives at 11:00 a.m. sharp for the next guests. The Manager may refuse early check-in or late check-out depending on operations. A $120 management fee applies in either case.
Departure checklist
Follow the departure checklist (see section 8). Extra cleaning time is billed at $47 per hour.
Parties, excessive noise, music
Keep noise to a minimum after 11:00 p.m. If the Noise Aware sensor detects excessive sound for a period after 11:00 p.m., the Manager will send a message to reduce the noise. On a second warning, a $250 fee is charged against the security hold and you must leave the cabin with no refund.
Doors and windows
The Guest must lock all doors and keep screens closed to prevent insects and pests, at all times when away and on the day of departure.
Outdoor fires
Before lighting an outdoor fire, check SOPFEU for a fire ban in the area. The fire index is often very high in summer. Never leave a fire unattended and extinguish it properly.
Fireworks
For safety reasons, municipal by-law prohibits fireworks, firecrackers and open-air fires. $250 fine for non-compliance.
Camping and extra accommodations
Camping, tents, trailers, RVs, marquees or other extra accommodations are not permitted on the cabin site. $250 fine per occurrence.
Septic system
The cabin has sanitary installations designed to work properly. If septic-system instructions are not followed, the cost of restoring service will be billed to the Guest upon presentation of the invoice.
8. Departure checklist
Extra cleaning time is billed at $47 per hour.
- Gather all sheets, towels and dishcloths (leave the duvet on the bed).
- Wash the dishes and empty the dishwasher.
- Take out all garbage, recycling and compost.
- Put accessories and furniture (indoor and outdoor) back in place.
- If you used the BBQ, close the propane valve.
- Leave the cabin as you found it.
- In winter, lower the heat to 19°C and turn off the fireplace when you leave.
- Turn off the lights, close the windows and lock the door.
9. Owner’s obligations
The Owner undertakes to:
- hold a classification certificate issued by the Corporation de l’industrie touristique du Québec under the Tourist Accommodation Establishments Act, and keep it in force;
- keep the cabin in good working and maintained condition and carry out needed repairs;
- ensure the Guest’s peaceful enjoyment of the cabin and warrant against defects that would prevent it during the rental period;
- provide an Internet and Wi-Fi connection. Note: cabins in Charlevoix do not have high-speed service. Speed may fluctuate and cause slowdowns;
- point any security cameras toward the exterior of the cabin;
- provide linens for the stay (sheets and towels).
10. Guest’s obligations
The Guest undertakes to:
- pay the rent, security hold and recoverable charges;
- use the premises only for vacation purposes;
- enjoy the premises peacefully and avoid any noise, odour or activity that would disturb neighbours, whether caused by the Guest or by authorized occupants;
- not sublet the premises. Occupancy is limited to the Guest, their family, dependants and anyone they host, without creating a sublease. The Guest remains personally responsible for their acts;
- handle ordinary upkeep of walls, floors and furnishings during the stay;
- return the premises in the same state of cleanliness as at check-in, failing which the Guest will indemnify the Owner for cleaning costs;
- not alter the premises, their structure or their elements;
- inform the Manager of any incident or damage, whether or not it is the Guest’s fault. Defects must be reported on arrival, otherwise we consider you responsible;
- compensate the Owner for damage or loss that does not arise from force majeure;
- take all necessary precautions to prevent weather-related damage;
- allow the Owner or their representative access at any time to inspect the premises or carry out urgent or necessary work;
- be responsible for material damage occurring in or on the building during the stay.
11. Liability
- Neither the Manager nor the Owner can be held liable for any accident, injury or illness resulting from the Guest’s fault, occurring to the Guest or their visitors during the stay.
- Neither the Manager nor the Owner can be held liable for theft or loss of the Guest’s or visitors’ belongings.
- Although every effort is made to keep equipment working, neither the Manager nor the Owner can be held liable to replace or refund the Guest for loss of use of a non-essential appliance. Essential systems mean water supply, electricity, sewer and appliances such as the refrigerator and stove.
- Neither the Manager nor the Owner can be held liable for any damage, loss or expense arising from the use or non-use of the rental cabin.
For the entire stay, the Guest agrees to follow the rental conditions, rules, instructions, payment terms, security-hold terms and cancellation policy; to use the premises with care; to report any breakage or theft; to return the premises in the required state of cleanliness; and to pay any costs arising from a failure to do so.
Hot tub appendix
Use, hygiene and safety
- Shower without soap before use.
- Do not pour any product of any kind into the spa.
- No food or alcohol in the spa. Use only plastic cups or cans. Stay hydrated.
- Anyone with skin conditions or other medical issues should follow a doctor’s advice before use.
- Do not remove the cleaning-product reservoirs.
- Follow the cover opening and closing instructions.
- Keep the cover closed when not in use to prevent evaporation of cleaning products.
- Do not exceed one (1) hour of soaking.
- Respect the maximum number of bathers.
- Add a shock treatment after each day of use (found in a box near the spa).
Control system
- The spa is ready on arrival and the temperature is preset for the season. We recommend leaving it as is to avoid discomfort or reduced sanitizer effectiveness.
- The keypad is the spa’s control system. Reprogramming it can make the spa unusable, with no compensation. Use only the jets, bubbles and lights buttons during use.
- If you want to change the temperature, do it before use so you do not deprogram the spa.
- Warn children to be careful: they like to press buttons, which can have consequences.
Our spa maintenance team inspects at least every 4 days, without notice. If the technician must perform an emergency drain, a $250 fee is charged.
